Privacy Policy
Last updated: July 12, 2026
BarPulse (“BarPulse,” “we,” “us”) is a mobile shift-management app for bar and hospitality teams. This policy explains what data we collect, why, who processes it on our behalf, and how you can access or delete it. It applies to the BarPulse mobile app on iOS and Android.
Who this app is for
BarPulse is a business tool intended for adults (18+) who work at or manage a bar. It is not directed to children, and we do not knowingly collect data from anyone under 18.
Data we collect
| Data | Why we collect it | Processor |
|---|---|---|
| Email address | To create and sign in to your account, and to send essential account/team emails | Supabase (auth), Resend (email) |
| Name / display name | To show who you are to your teammates | Supabase |
| Account & team identifiers (user ID, business membership, role) | To run the app and enforce permissions | Supabase |
| Operational content you create (86 items, conditions, tasks, prep, handover notes, flags, etc.) | This is the core function of the app — shared with your own team | Supabase (Postgres), cached locally on your device (encrypted) |
| Subscription / billing status (plan, status — not card numbers) | To manage your team’s subscription | Stripe (Stripe holds card details directly; we never see or store your full card number) |
| Crash reports & diagnostics (error logs, app version, device/OS type) | To find and fix bugs and keep the app stable | Sentry |
| Product-usage events (which features are used, in-app actions) | To understand how the app is used and improve it | PostHog |
| Documents you choose to import with AI (a prep list, menu, or opening/closing procedure you paste or upload) — only if you use the AI import feature | To read the document and turn it into items you can review and edit. SeeAI import below | Anthropic (Claude) |
We do not sell your personal data, we do not show ads, and we do not use your data for advertising. We do not send push notifications. The processors listed above act on our behalf under their data-processing terms; we don’t share your data with third parties for their own independent purposes.
AI import (optional)
BarPulse has an optional feature that reads a document you already have — a prep list, a menu, or an opening/closing procedure — and turns it into items you can review and edit, so you don’t have to type it all in by hand. It only runs when you choose to use it, on the document you give it. It is a setup tool: it never reads, writes, or acts on your live operational data (your 86 board, conditions, tasks, or handovers).
What happens to the document you import:
- We send it to Anthropic (the makers of Claude), our AI processor, to read it and pull out the structure. Anthropic acts on our behalf as a processor under theirCommercial TermsandData Processing Addendum, which include Standard Contractual Clauses for international transfers.
- Anthropic does not train their AI models on it. Under their Commercial Terms, Anthropic may not train models on customer content submitted through their API. They do not retain the document by default, and delete their operational logs on a short retention window (currently 7 days). If their automated trust-and-safety systems flag content, or where the law requires it, they may retain it longer.
- Nothing is saved to your bar until you approve it. The AI produces a draft; you review it, edit it, and choose what to keep. Nothing it produces is written to your team’s data without you confirming it.
- We keep a copy of the imported text for up to 90 days so we can look into it if an import goes wrong and improve how well the feature reads real documents. After that it is deleted automatically.
Please only import documents that are yours to import. A prep list or menu is exactly what this is for; don’t paste in anything containing personal details about your staff or customers — the feature doesn’t need it, and it will be sent to our AI processor along with the rest of the document.
Cookies
Our marketing website uses privacy-friendly, cookieless analytics to measure traffic. We don’t use advertising or tracking cookies. The BarPulse app itself does not use cookies.
How your data is stored and protected
All data is encrypted in transit (HTTPS/TLS). Operational data cached on your device is stored in an encrypted local database. Account passwords are handled by our authentication provider and are never stored by us in readable form. We sign in with Google and Apple using their secure sign-in; we receive your name and email, nothing more.
How long we keep your data
We keep your account and business data for as long as your account is active. When you delete your account, we delete your personal profile and account data (see “Deleting your account” below). Content that belongs to a shared business (for example, items your team relies on) may be retained for that business after you leave it. Documents imported with AI are kept for up to 90 days and then deleted automatically (see AI import). We may retain limited records where required for legal, tax, or fraud-prevention reasons.
Deleting your account
You can delete your account at any time from inside the app: Settings → Profile → Delete account. This permanently removes your profile and account data. If you are the sole owner of a business, you’ll be asked to transfer ownership first so the business and its data aren’t orphaned.
You can also request deletion without the app — see ourAccount Deletion page or emailadmin@barpulse.app.
Your rights
Depending on where you live, you may have the right to access, correct, or delete your personal data, or to object to or restrict certain processing. To exercise any of these, emailadmin@barpulse.app and we’ll respond within a reasonable time.
Changes to this policy
We may update this policy as the app evolves. We’ll update the “Last updated” date above when we do.
